About the role:

The Office Coordinator will play a pivotal role in continuing to foster a thriving organizational culture at Edge. Working across teams, you will champion company culture while supporting senior leadership and ensuring smooth company operations. This multifaceted role combines executive assistance, administrative excellence, and people-focused initiatives to maintain alignment with our values and strategic goals. You’ll take ownership of key initiatives, such as developing our culture documentation and pursuing a Just Label, while managing critical processes like proposals. These efforts will ensure high-quality deliverables that reflect Edge’s values, vision, and mission. 

This role is in-person, based out of Edge’s Vancouver office.

• Proficiency in office management tools and software, including the Microsoft Office Suite. 

What the role includes:

Culture Development 

• Collaborate with senior leadership to identify and implement initiatives that enhance the company culture. 

• Plan and coordinate internal events, and initiatives that promote collaboration, innovation, and well-being for people across Edge. 

• Integrate initiatives within the workplace environment that align with Edge’s mission and core values. 

• Work with current staff to develop and maintain Edge culture documentation used to communicate what Edge is about to current and future employees. 

Coordination with Leadership 

• Provide day-to-day support to senior leadership, including meeting coordination, and task prioritization. 

• Organize and assist leadership in the production of materials, presentations, and correspondence to ensure alignment with company goals. 

• Track and follow up on leadership action items, ensuring timely progress on strategic initiatives. 

• Coordinate travel arrangements, schedules, and itineraries for leadership team members. 

• Support leadership in aligning team efforts with the company’s mission of creating buildings for people and the planet. 

Company Administration 

• Manage and oversee day-to-day administrative operations, including scheduling, and organization across Vancouver and Toronto offices. 

• Coordinate company activities and events in alignment with growth and culture goals. 

• Work with senior leadership to maintain company policies and procedures to reflect organizational values and operational needs. 

• Manage external vendors and service providers to ensure smooth office operations. 

Proposal Management 

• Coordinate the company’s proposal process, including coordinating proposals to ensure proposal leads are supported throughout the process and that all materials issued meet Edge’s high-quality standards. 

• Track deadlines and deliverables for proposal submissions, ensuring all requirements are met. 

• Develop and maintain a repository of proposal templates, case studies, and other resources to streamline the process. 

Employee Experience Support 

• Support recruitment efforts, including job postings, candidate communications, and interview coordination. 

• Assist in employee performance reviews alongside of managers to ensure processes are followed and reviews are successfully executed. 

• Develop and maintain programs that prioritize employee well-being, diversity, and inclusion in alignment with Edge’s pursuit of a Just Label (Just Overview – Living Future). 

• Work with HR to monitor and report on metrics related to employee engagement, satisfaction, and retention. 

Compensation & Benefits:

• Expected annual base salary of $60,000-$85,000. 

• Additional annual bonuses, typically in the region of 5% of base salary. 

• Enrollment in health benefits program. 

• 12:30 finish on Fridays. 

• 20 paid vacation days. 

• This position is fully office-based, located in Vancouver
